The Village Office is responsible for maintaining all official Village records. Listed below are duties that the Clerk and Deputy Clerk are responsible for in an average day:
BIRTH & DEATH CERTIFICATES
Birth & Death Certificates are filed with this office only if the birth or death occurred within the home. Copies of the Birth Certificates are issued to only the Mother, the Father (if named on Certificate),or the actual child (if 18 Years of age or older). Copies of Death Certificates can be requested by the Children, Parent, or Current Spouse. Anyone else has to prove lawful purpose. You may come into the Office and file an application for request, show proof of identification (Driver's License, Non-Driver's License, Passport), and then receive copies. The fee is $10.00 per copy. For Genealogy Requests there are special requirements: 75 Years on Birth/and the person has to be deceased, 50 Years on Marriage/and both have to be deceased. Anyone is entitled to these records.
HANDICAPPED PARKING PERMIT
Village residents may come to the Office or call for applications. Applications are then completed by the resident and his/her physician. Return the completed application to this Office and then in turn receive a Permanent Permit, which is issued for a period of up to five years; Temporary Permit-six months. There is no charge for these permits.
LARGE TAG ITEMS FOR GARBAGE REMOVAL
Large items such as stoves, refrigerators, washers, dryers, hot water tanks, chairs, couches, rugs, mattress, box spring, etc. are required to have a special tag attached for garbage removal. The fee is $5.00 per item. Tires are required to have a $3.00 tag and the tire has to be off the rim. These items are then picked up with your normal garbage. VILLAGE TAX SEARCH REQUESTS
Abstract & Title Corps. and Attorney's & Law Offices request Tax Searches of Village residencies. The fee is $10.00 per request.
APPLICATIONS FOR BUILDING PERMITS
Applications for building permits may be picked up through this office, but you must call Codes Enforcement Officer David Neary at 736-1613 before any building is to begin.
VILLAGE ELECTIONS
Village elections take place every two years, unless there should be a reason for a special election. Elections are held in March, unless otherwise specified, and take place here within the Village Office.
REGISTERING TO VOTE
Residents of the Village of Whitesboro who are not registered to vote in Village elections, may do so by registering with the County Board of Elections. You may pick up forms at the Village Office or have them sent upon request. The registration form must be completed and returned in person or by mail to the Oneida County Board of Elections, 321 Main Street, Utica, New York 13501.
ABSENTEE BALLOTS
Absentee Ballots for Village Elections are done in a two step process. First, you must request an application from the Oneida County Board of Elections, complete the form, and then return it to the them. Second, they will send you the Absentee Ballot, you must complete the form, and then you must return the ballot or mail it to the Oneida County Board of Elections, 321 Main Street, Utica, New York 13501. MINUTES, LOCAL LAWS ETC.
Copies of Minutes of Meetings regarding the Village Board, Zoning Board of Appeals or Planning Board are available for a fee of $.25 per page. Zoning Chapter 130 of the Code of Whitesboro is available for a fee of $10.00 per copy and will be mailed for an additional fee to cover postage. Local Laws, Village Maps, Zoning Maps, the Code of the Village of Whitesboro are also available.
